Privacy Notice

1. Who we are

The Parent Source is the registered business / trading name of Stephanie Haddow (“we”, “us”, “our”, the “Platform”). Jersey Financial Service Commission Business Registration Number: 36811 The Parent Source is an online platform that connects parents and carers with independent health and education professionals in the United Kingdom and other countries and territories internationally. The Parent Source is a connecting service only. We are not a healthcare provider, education provider, childcare provider, or regulated professional body. We do not provide, supervise, or take responsibility for any treatment, care, advice, or service delivered by the professionals listed or contacted through the Platform. Full detail on this is set out in Section 9 below and in our Terms and Conditions. Stephanie Haddow trading as The Parent Source is the data controller and is registered at the Jersey Officeof the Information Commissioner with number 103994. Contact details are provided in section 15 of this privacy notice.

2. Scope of this notice

This notice explains how we collect, use, share, and protect personal data when you:

It applies to parents and carers, professionals who list their services on the Platform, and visitors to our site. Where we refer to “you” below, this means whichever of these applies to your use of the Platform.

3. The laws that apply to us

Because we operate across a number of countries and territories, more than one data protection law may apply to your personal data, depending on where we process personal data and where you are based. Where differing data protection principles apply to our processing of personal data then we adopt whichever local rules are stricter.

4. Personal data we collect

4.1 From parents and carers

We do not require parents or carers to provide their names or contact details nor the names or contact details of their children. Parents and carers do not create a profile or account to use the Platform or need to register a password. Likewise, we ask that you please do not provide this information to us.

Instead, the information we collect from you is limited to:

Because of the nature of this very limited and anonymised data such information does not constitute personal data as no single living person is identified or can be rendered identifiable from such information.

4.2 From professionals

From our professionals we may collect:

identity and contact details such as name, business name, email, phone number, and business address;
professional information such as qualifications, registration/licence numbers, areas of practice, insurance details, DBS/safeguarding check status, and any other credentials submitted;
professional work experience; and
profile content: biography, photographs, availability, and pricing.

Multiple payment gateway options are available to you when paying your membership fees. When you provide financial payment information then this is provided by you directly to the payment gateway option that you choose and not to The Parent Source.

5. How and why we use your data

We use personal data for the following purposes and relying on the following legal bases:

in our and your legitimate interests to match parents/carers with a relevant professional based on the concern or need that they describe and, where relevant, their location;
to perform and enforce The Parent Source’s contract with our professionals by creating and managing professionals' accounts and listings on the Platform;
in our legitimate interests to prevent and detect fraud;
in our legitimate interests to communicate with you regarding any queries;
on the basis of your consent or, in the case of existing contacts, in our legitimate interests in order to send marketing communications which you may opt out of at any time;
in our legitimate interests to maintain the security of the Platform;
to comply with our legal and regulatory obligations, for example safeguarding concerns; and
in exceptional cases where we consider it to be in your or another living individual’s vital interests, for example, where there is a serious risk to a child's or adult's safety.

6. Children's data

The Platform is intended for use by adults only (parents, carers, and professionals).
We do not collect, and we ask that you do not ever provide us with data that identifies any child. When a parent or carer provides their location or concern / need in order to be matched with a professional it is via a pre-populated drop down bar and no information is stored or processed regarding any identied or identifiable children. In this way all children and parents/carers remain anonymous to The Parent Source.
Once a connection is made with a professional any information a parent/carer provides to that professional is governed by their own relationship with that professional and is not collected or processed by the Platform. See Section 9 for more on our role as a connecting service only.

7. Who we share data with

Whilst a parent / carer will share information with Professionals that they choose to contact or book after having found them via the Platform then we only share personal data where necessary to:

service providers who support our operations, such as hosting providers, payment processors, customer support tools, and email/communication platforms, under contracts requiring them to protect your data;
professional bodies or regulators;
law enforcement or other governmental authorities, where we are required to by law, or where necessary to protect the safety of a child or adult; and
a buyer or successor, in the event of a sale, merger, or reorganisation of our business, subject to the same protections described in this notice.

We do not sell personal data.

8. International data transfers

As we operate across different jurisdictions, and plan to expand further, then personal data may be transferred to and processed in countries outside the country where you or we are based, including countries with other data protection laws.

Where this happens, we ensure appropriate safeguards in place, such as checking the destination country/territory has an adequate level of protection, or undertaking transfer risk assessments and using the EU Standard Model Clause Contracts with relevant country specific addendums where necessary.

9. Our role: we are a connecting service only

This section is important.

The Parent Source facilitates introductions between parents/carers and independent professionals.

We are not a party to a Parent / Carer’s relationship or contract with a Professional, and accordingly we disclaim and take no responsibility for, the care, treatment, advice, or service that any Professional provides nor for a Parent / Carer’s (or their child’s) conduct towards or use of a Professional. Further, we limit and exclude liability wherever possible in this regard and by using the Platform each Parent / Carer and Professional agrees to defend, hold harmless and indemnify us from any and all claims of whatsoever nature and whether arising in contract, tort or otherwise, as a result of their use of the introductory services provided via the Platform.

In practice, this means:

professionals listed on the Platform are independent and not The Parent Source’s employees, agents, or subcontractors. The same applies vice versa;
parents and carers are responsible for undertaking any checks that they consider necessary (for example regulatory registrations, experience or qualifications) on professionals that they wish to contact and engage;
The Parent Source is not responsible for the professional conduct, treatment decisions, care outcomes, or data handling practices of any professional that a parent / carer contacts and/or makes a connection with;
each professional is separately responsible, as an independent data controller, for how they collect, use, and protect any personal information that you share with them directly (for example, during initial contact, a consultation, appointment, or ongoing care relationship);
we encourage you to review each professional's own privacy practices and to ask them directly how they handle your data before sharing any personal information; and
any listing of a professional on The Parent Source does not amount to our endorsement, supervision, or ongoing responsibility for their conduct.

Nothing in this notice or our Terms and Conditions limits or excludes our liability where this would be unlawful (for example, in relation to our own data protection obligations for the personal data we as the Platform control).

10. How long we keep data

Parent/carer search and match data: since we do not hold information identifying or rendering identifiable any parent/carer or child, this data is retained only for a limited period as necessary to complete the match and resolve any related queries, after which it is deleted.
Professional account data: for as long as the professional's account is active, and for a limited period of 6 years afterward to allow reactivation, resolve disputes, and bring or defend legal proceedings.
Marketing contact data: until you unsubscribe or otherwise withdraw consent.

11. Keeping your data secure

We use appropriate technical and organisational measures to protect personal data against unauthorised access, loss, or misuse, including encryption of data in transit, access controls, and regular review of our security practices. No system is completely secure, and we encourage all our professionals to use a strong, unique password for your account that you do not share with any other person.

12. Your rights

Depending on the lawful basis we rely upon for processing your personal data and subject to any exemptions or limitations that apply, you have the right to:

access a copy of the personal data we hold about you;
have inaccurate data corrected;
have your data deleted in certain circumstances;
restrict or object to certain processing, including direct marketing;
receive certain data in a portable format;
withdraw consent at any time, where we rely on consent;
complain to a relevant data protection regulator (see Section 13).
